With the entire team going a million miles an hour, it can be hard to bring new colleagues up to speed. Things just fall in between the cracks sometimes.
This is where an onboarding overview that the team can just rinse and repeat to streamline the onboarding process of new hires can really help.
We've got a template to get you started right away or take a quick scroll to learn how it works.
Step 1: Create a board to get started
Let's start things off by creating a database that'll house each new hire's onboarding checklist. You can add one by clicking the [+] button on a new line in the editor and selecting 'Board.'
Step 2: Tailor the board to reflect the onboarding process
Let's highlight the different stages of the onboarding process.
Just click the status and rename it - it's as easy as that. For some styling, you can also change the color of the stages as well.
If you're uncertain where certain people are, you can keep the 'No Status' column. Otherwise, you can hide it by clicking on the '...' button.
Step 3: Add employees that need to be onboarded
Go ahead and add where each of the new employees are in the onboarding process. If someone's status changes, each of the cards are draggable so just drag-and-drop the new hire to the appropriate status.
Step 4: Add a checklist of to-do's to onboard each hire
Since we've set things up as a database - everyone being onboarded has their own unique page. Click on one of their cards to open one up.
Let's add in a checklist of things to complete in order to successfully onboard someone. Just click the [+] button when you're on a new line in the editor and select 'To-do List.'
Step 5: Introduce properties for more
Add in helpful properties that you'd like to have visible on the cards by opening up a new employee's card and clicking on '+ Add a Property.'
This'll make your onboarding overview much more scannable.
Here are some useful properties you can add:
- Select: include a dropdown to indicate which department they're in
- Date: note down when their starting date was
Step 6: Follow along with page updates
With all that's on your plate, it might be helpful to subscribe to some pages to help you stay up to date.
Any page in Notion can be subscribed to - meaning 'All Updates' in the left sidebar will be bolded whenever a change has been made to that particular page.
To subscribe to any of the onboarding checklists, just open up 'Updates' on any page and toggle that you'd like to follow updates. This is where you'll also be able to scan a thread of all recent activity on the page.
Step 7: Filter the table or quick search by tags
If folks are being onboarded left and right, you can filter your overview to hone in on whatever it is you're looking for.
To filter by status or department, just click 'Filter,' select the property, and filter accordingly.
And when you have someone specific in mind, try giving quick search a try.
